ERPNext and Your Online Store: Keeping Stock and Orders in One Place

ERPNext article title card reading "ERPNext and Your Online Store: Keeping Stock and Orders in One Place", from Upscapetech.

Selling online while also selling from a shop, a warehouse or to trade customers sounds straightforward. Then the same item sells in two places on the same afternoon, and you only had one left.

That is the everyday problem behind connecting an online store to an ERP. The store keeps one stock count, the back office keeps another, and someone tries to keep them in step by hand. This post explains how ERPNext connects to Shopify and WooCommerce, what moves in which direction, and the decisions you need to make before anything is switched on.

Why Two Separate Systems Cause Trouble

Overselling

When the online store and the back office each hold their own stock figure, one of them is always out of date. Sell the last unit in the shop, and the website keeps selling it. The customer pays, then gets a cancellation email.

Orders Typed Twice

Without a connection, online orders are re-entered into the ERP or accounting system by hand, often in batches at the end of the day. Each re-entry is another chance for a wrong quantity, price or customer name.

A Blind Spot for Finance

If online sales only reach the books as daily totals, finance cannot see margins by product or channel, and payment fees and refunds become reconciliation guesswork.

How ERPNext Connects to Shopify

An Official Connector

Frappe, the company behind ERPNext, maintains an Ecommerce Integrations app that includes a Shopify connector. The Shopify connector was moved out of ERPNext itself into that app, and it is set up by creating a custom app in Shopify and entering its credentials in ERPNext.

What Moves Which Way

According to Frappe’s documentation, the connector pulls orders from Shopify and creates sales orders against them in ERPNext, creating customers and items automatically if they do not exist yet. Fulfilments and payments are captured from Shopify. In the other direction, inventory levels that have changed since the last sync are pushed from ERPNext to Shopify, and new items can optionally be created in Shopify too.

Warehouses and Locations

ERPNext warehouses are mapped one to one with Shopify locations. If your online store sells from a specific warehouse, that mapping is what keeps the website’s available stock honest.

Taxes and Shipping

The setup includes mapping Shopify’s tax and shipping charges to accounts in ERPNext, so each order lands in the books correctly rather than as one undifferentiated total.

How ERPNext Connects to WooCommerce

Not in the Official App

Frappe’s Ecommerce Integrations app covers Shopify, Unicommerce, Zenoti and Amazon. WooCommerce is not on that list, so WooCommerce stores need another route.

A Community Connector

The most established option is WooCommerce Fusion on the Frappe Cloud marketplace, a community app that describes syncing sales orders, items, item stock levels and item prices between ERPNext and one or more WooCommerce sites. Because it is community maintained, check its current version and support arrangements against your ERPNext version before committing.

Or a Custom Integration

WooCommerce also has a well-documented REST API with webhooks, so a custom integration is always possible. That makes sense when your process is unusual, but it also means you own the maintenance.

The Decisions to Make Before You Connect Anything

Which System Owns Stock?

For most businesses, the ERP should own stock levels, because it is the only system that sees every channel: online orders, the shop counter, wholesale orders, purchases and transfers between warehouses. The store displays what the ERP says is available.

Where Are Items Created and Maintained?

Decide whether new products start life in the ERP and flow to the store, or start in the store and flow back. Either can work. What does not work is creating items in both places and hoping they match. Product descriptions and images often stay in the store, while codes, costs and stock stay in the ERP.

Where Are Prices Set?

If prices are managed in the ERP and pushed to the store, one change updates every channel. If the store sets its own prices, keep that deliberate and documented, especially when you run online-only promotions.

Which Warehouse Does the Website Sell From?

A single dedicated online warehouse is simplest. Selling online from several branches is possible but needs careful mapping, because each branch’s stock then appears separately in the store.

How Are Payments and Fees Recorded?

Card fees, payment gateway settlements, refunds and cash collected on delivery all need a clear home in the books. Decide how each is recorded before the first live order, not after the first month-end that does not reconcile.

Getting the Stock Right in the First Place

Clean Item Codes on Both Sides

A connector matches items by identifiers. Duplicate products, inconsistent codes or variants set up differently in each system cause failed syncs and mystery stock. Clean them before connecting.

Accurate Starting Stock

Real-time sync only helps if the starting figure is right. Count before go-live. Our guide to ERPNext inventory management for Dubai trading companies covers warehouses, transfers and reorder levels in more depth.

Sell In Store Too?

If you also sell over a counter, ERPNext’s point of sale draws on the same stock. We explained how that works in ERPNext POS for UAE retail.

What It Looks Like Day to Day

Overnight Orders, Ready by Morning

A customer orders at midnight. By the time the warehouse team arrives, the order is already in ERPNext as a sales order, with the customer and items attached. Nobody types anything. The team picks, packs and dispatches from the same system they use for every other order.

Stock That Agrees Everywhere

When the order ships, stock falls in ERPNext, and the new level flows back to the store. When a delivery from a supplier is received into the warehouse, the extra stock becomes available online without anyone updating the website by hand. The shop counter, the website and the warehouse are all looking at one number.

Finance Sees the Detail

Each online order lands in the books with its products, taxes and shipping charges, rather than as a single daily total. Margins by product and by channel become a report, not a monthly spreadsheet project, and refunds sit against the original order instead of floating as unexplained adjustments.

Testing Before Go-Live

Run Real Scenarios

Place test orders that cover your actual situations: a normal paid order, an order with a discount code, a multi-item order, a cancellation, a refund and an out-of-stock item. Check each one arrives in ERPNext correctly and that stock moves as expected in both systems.

Watch the First Weeks Closely

Even a well-tested connection needs attention early on. Check daily for orders that failed to sync and items whose stock looks wrong, and fix the cause rather than correcting numbers by hand. A manual correction hides the problem until it happens again, usually on your busiest day.

Keeping It Running

Platforms Change

Shopify, WooCommerce and ERPNext all update regularly. Connectors need to keep up, so make sure someone is responsible for updates and for checking the sync still works afterwards.

Know When to Customise

Most stores run well on a standard connector. If your process genuinely needs something different, read when to configure ERPNext and when to build before you commission custom work.

The Bottom Line

Connecting your online store to ERPNext ends overselling and double entry by putting every order and every stock movement in one system. Shopify connects through Frappe’s official Ecommerce Integrations app. WooCommerce connects through a community connector or a custom integration.

The connection itself is the easy part. The decisions about which system owns stock, items, prices and payments are what make it work, so make them first.

A connector moves data between two systems. Deciding which one is in charge is what stops them arguing.
